1. Introduction

These Terms and Conditions ("Terms") govern your use of the PitchSide platform ("Platform"), operated by PitchSide Ltd ("we", "us", "our"), a company registered in England and Wales. By registering for or using the Platform, you agree to be bound by these Terms. If you do not agree, you must not use the Platform.

2. Definitions

"Organisation" means any club, academy, clinic, school or other entity that posts fixture coverage requests on the Platform. "Therapist" means any sports therapist, physiotherapist or qualified medical professional who registers to provide services via the Platform. "Fixture" means a session or event for which an Organisation requires therapist cover. "Booking" means a confirmed engagement between an Organisation and a Therapist facilitated through the Platform.

3. Eligibility

You must be at least 18 years of age to use the Platform. Therapists must hold valid, current professional registrations and insurance as required by their relevant regulatory body (e.g. HCPC, CSP, SRT). You are responsible for ensuring your credentials remain up to date at all times.

4. Platform Role

PitchSide acts solely as an introductory marketplace. We do not employ Therapists, and Therapists are independent contractors. We are not party to any contract for services between an Organisation and a Therapist. PitchSide is not responsible for the quality, safety, legality or any other aspect of the services provided by Therapists.

5. Therapist Obligations

Therapists must: • Maintain valid professional indemnity insurance and provide proof on request. • Hold a current, enhanced DBS check where required by law or the Organisation. • Ensure all credentials, qualifications and registrations uploaded to the Platform are accurate and not expired. • Attend confirmed Bookings punctually and conduct themselves professionally at all times. • Complete any injury reports or documentation required within a reasonable timeframe after a Fixture. • Notify the Platform promptly of any changes to their registration status or insurance cover.

6. Organisation Obligations

Organisations must: • Provide accurate information when posting Fixtures, including location, timing, and specific requirements. • Ensure payment methods are set up prior to confirming a Booking. • Treat Therapists with dignity and respect in accordance with applicable equality legislation. • Not engage a Therapist outside the Platform to circumvent commission arrangements during or for 12 months following a Platform-facilitated introduction.

7. Payments and Commission

All payments for Bookings are processed through the Platform using Stripe. PitchSide charges a commission on each Booking as set out in the applicable subscription or service agreement. Therapists receive payment to their nominated bank account after deduction of the applicable commission. PitchSide reserves the right to place a holding charge on an Organisation's payment method prior to a Fixture being confirmed. In the event of a cancellation, the applicable cancellation policy will determine any charges or refunds.

8. Cancellations

Cancellation terms are as follows: • More than 72 hours' notice: no charge. • 24–72 hours' notice: 25% of the Fixture fee. • Less than 24 hours' notice: 50% of the Fixture fee. • No-show by Organisation: 100% of the Fixture fee. Therapists who cancel without reasonable notice may have their account suspended. PitchSide reserves the right to apply discretion in exceptional circumstances.

9. Verification and Compliance

PitchSide uses a combination of automated checks and manual review to verify Therapist credentials. Approval of a verification request does not constitute endorsement of a Therapist's competence. Organisations are encouraged to satisfy themselves as to the suitability of any Therapist prior to confirmation of a Booking. PitchSide reserves the right to suspend or remove any account where fraudulent or misleading information is discovered.

10. Data Protection

We process personal data in accordance with UK GDPR and our Privacy Policy, available at /privacy. By using the Platform you consent to such processing. Injury reports and player data are processed under a legitimate interest basis for clinical documentation purposes and must be handled in accordance with applicable data protection law by both Therapists and Organisations.

11. Intellectual Property

All content, trademarks, software and materials on the Platform are owned by or licensed to PitchSide Ltd. You may not copy, reproduce, distribute or create derivative works from any part of the Platform without our prior written consent.

12. Limitation of Liability

To the fullest extent permitted by law, PitchSide Ltd shall not be liable for any indirect, incidental, special or consequential loss or damage arising from your use of the Platform, including loss of revenue, loss of data, or personal injury. Our total aggregate liability to you for any claim shall not exceed the commission fees paid to us in the three months preceding the claim.

13. Termination

PitchSide may suspend or terminate your account at any time if you breach these Terms or if we reasonably believe your conduct poses a risk to other users or the integrity of the Platform. You may close your account at any time by contacting us at info@pitchsidetherapy.co.uk. Termination does not affect any outstanding payment obligations.

14. Governing Law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

15. Changes to These Terms

We reserve the right to update these Terms at any time. We will notify registered users of material changes via email or an in-app notification. Continued use of the Platform after changes take effect constitutes acceptance of the revised Terms. The current version of these Terms is effective from 1 May 2026.
